Cascade SIGGRAPH Board Meeting

Location:  Bangkok Thai, Downtown Portland

Time: Noon – 1 pm

 

Attendees:

Jeff Borg, Demetra Arnett, Michael Smith, Herc Silverstein, Fran Zandonella, Andrew Dennis

 

Committees:

Michael & Herc explained what the committees are and how they need to be filled.

We need a Volunteer Coordinator.

 

We need to fill the Programming Committee.  The Vice Chair heads the Programming Committee.  The Programming Committee does all the event planning.

 

There are 2 meetings we have every year: the Electronic Theatre, and a Social / Mixer.  We usually have the Electronic Theatre in the Fall, after the SIGGRAPH conference.

We need to have 4 meetings per year to be considered an active chapter.

 

Michael explained that it is easy to get people to serve on the Programming Committee, because the people on the committee contact important people at exciting companies.  Committee members “get their foot in the door, and meet people in charge.”  It is a fantastic opportunity, especially for students.

 

The Programming Committee finds the venue, recruits the speakers, and arranges the food catering.

 

* Michael will send a list of venues and contacts to Demetra

 

Fran suggests we might do a “BYOV” (Bring Your Own Video) night quarterly or at the end of the semester, modeled after the one they do in New York City.  It would be a casual evening, at a local venue that allows students and can provide a big screen.

 

 

Professional / Student Chapters Committee (PSCC) Workshop and Business Meeting at SIGGRAPH 2005:

Fran explains that there is a chapter leaders workshop at the SIGGRAPH Conference.  It will be held all day Saturday on July 30th in Los Angeles, CA.

 

* Fran will send email to Jeff about the PSCC Workshop.

 

Email Addresses from ACM

Andrew reports that the ACM will provide an email address list to the chapter.  We need to tell them how they should put together the list.  (By zip code, types of members [ACM, SIGGRAPH, etc], etc.)

 

Membership

Herc has an excel spreadsheet with all our member’s info in it, including their email addresses.

 

 

Treasurer’s Report

Andrew reports that our ISP bill is due.  The ISP hosts the Cascade SIGGRAPH’s website.  It costs $45 / year or $85 / 2years.  We need to renew by July 15th, and we can do that on-line via credit card.  Andrew requests that we use a new address for the billing address.  (It is currently going to his address.)

 

We have $667.78 in our bank account, with $100 in cash.  Andrew gave us his printed report.  We need to generate income!

 

Note: all chapter memberships have been extended a year, since we didn’t have many meetings last year.

 

Herc was approached by an organization who wants to donate to our chapter.  The wheels are slow, though, which was OK because we were changing chapter leadership.  Now that we have fresh leaders, Herc will follow up with them on their donation status.

 

* Herc will follow up with the possible donors who have contacted him.

 

How does our chapter make money?

We need to work on sponsorship.

* Herc will email the membership forms to Jeff and Fran.

 

On our emails to the membership, Herc suggests clarifying the definition of chapter membership (so people don’t get confused with international membership).

 

Bylaws:

What are the bylaws?  And where are they?  It would be good for Jeff and Demetra to read them.

 

* Michael will send a copy of the bylaws to Jeff and Fran.  Fran mentioned that they should be on our website for all our members to read.
